EXECUTIVE ASSISTANT

PART TIME: 25-30 hours per week
COMPENSATION: $13.00 hourly, depending on experience, free movie tickets, 20% discount on concessions and merchandise

Requirements: High School Diploma preferred, Associate’s Degree Other requirements: Strong knowledge of accounting practices, Word Processing, Windows software, smartphone and technologically savvy. Preferred requirements: Familiar with Quickbooks, online scheduling software, point-of-sale software, friendly and positive demeanor in handling phone conversations
JOB DESCRIPTION: Nonprofit organizations use mission statements to succinctly identify the overall objective of the agency. As the executive assistant, you represent the organization in carrying out this mission. You are the first line of communication with the outside world as you answer the telephone and greet visitors. You also may be tasked with running errands or representing the agency at various events. Always exemplify professionalism and a positive image. You must be punctual and timely in completing assigned tasks. The assistant also exercises a great deal of discretion, as you may frequently be provided with highly confidential information.
Human Resource Responsibilities The executive assistant may perform numerous human resource tasks including posting open positions and scheduling interviews, employment paperwork, maintaining personnel files and payroll duties. You are also a liaison between the General Manager and agency employees. Since many nonprofits rely on volunteers to handle various responsibilities, you may have the responsibility of managing volunteer lists and tracking their work hours.
Event Planning Development is a major responsibility of a nonprofit executive director. Nonprofits rely heavily on donations and fundraising for administrative costs and fulfillment of the organization’s mission. As the executive assistant, you will help with development efforts. You may type grant proposals or deliver tax receipts to donors. You may also be tasked with managing a development calendar and keeping the General Manager aware of deadlines and time frames. The executive assistant also assists with fundraising event planning. Your responsibility may range from securing a venue and sending out invitations to organizing the entire event.
Gathering Information The executive director of a nonprofit is responsible for making sure that the organization is in compliance with the all regulations. As the General Manager’s assistant, you will be responsible for gathering and maintaining the documents that are necessary to ensure compliance. For monetary grants and the audit process, you will maintain a filing system for receipts and invoices. You may also be tasked with preparing reports on these expenditures and providing them to the funding agency upon request.
